Continuation Sheets
If the letter
is lengthy that it cannot be completed in one page, additional sheets of the same size are used with
simplified heading. Each such sheets used are numbered.
Some companies
have printed continuation sheets that are used for second or subsequent pages
of business letters. such printed continuation sheets usually show just the
company's name and logo. If printed continuation sheets are not available, the
second or subsequent page should be typed on plain paper of a similar quality
to that of the letterhead.
When a second
or subsequent page is necessary, always include certain details at the top of
the continuation sheet. These details are necessary for reference purposes
in case the first and subsequent
pages are separated in any way

addressee
When a continuation sheet is
necessary , remember the following guidelines:
It is not
necessary to include anything at the foot of the previous page to indicate that
a further page follows. The fact that there is no closing section or signature
should make this quite obvious.
A continuation
page should contain atleast three or four lines of typing as well as the usual
closing section
Do not leave one
line of a paragraph either at the bottom of the previous page or at the top of
the next page. Try to start a new page with a new paragraph.
Styles of Presentation
Business concerns follows
different styles in business letters. When a firm conventionally follows a
particular style, then to continue the same style is the logical way. But if we
have an opportunity to select a style, then we have the following alternative
methods.
Indented style
Block style
Complete block
style
Semi block style
Hanging indented
style
1 Indented Style
The indented style may be the
oldest form of business let ters. This
requires the first line to begin at tht; margin and the subsequent lines to
begin five spaces away from the beginning of the previous line; a coma follows
each line
